Paper Submission

What are my current duties?

In the Paper Submission stage, Confy does not require any actions from Track Chairs.In the Paper Submission stage, Confy does not require any actions from Track Chairs. However, Track Chairs need to make sure that all Program Committee Member have been appointed in this stage, and it is imperative to the success of the conference that Track Chairs disseminate the Track to their community in order to attract submissions. It is also strongly recommended to organize an Invited Session or to invite individual authors to submit an Invited Paper. These sessions are a popular addition to a conference program and it is well documented that they positively impact attendance.

Can we start validating papers while submission is still open?

Since authors are allowed to edit their submissions until the submission deadline, it is not possible to begin processing submissions until after the submission deadline. If the conference has multiple Technical Tracks, please note that they all comply to the same submission deadline, and these Tracks therefore cannot be processed separately.

How can I extend the Submission Deadline?

You may extend the Submission Deadline by clicking on Deadlines in the top row of your track’s dashboard in Confy, changing the date next to Submission Deadline to your new desired date, and clicking Save.You may extend the Submission Deadline by clicking on Deadlines in the top row of your track’s dashboard in Confy, changing the date next to Submission Deadline to your new desired date, and clicking Save. Please note that it is generally not recommended to extend the Submission Deadline.  Organizing Committees are allowed to extend the Submission Deadline maximum two times, for the total duration of no more than 30 days. If you are a Chair of a Technical Track, your track’s Submission Deadline is required to comply with the Submission Deadline of all other Technical Tracks. The Submission Deadline of Technical Tracks can only be extended by the Program Committee Chair and/or the General Chair.

How do I invite papers to an Invited Track?

Every Track (including yours) should have a shadow track with the same name, but of the Invited Track type. These tracks should be exclusively used by invited authors. If you don’t see an Invited Track version of your Track or if you don’t have Track Chair privileges in this Track, please contact the Program Committee Chair of your conference.

Invited Tracks are only visible to the Program Committee and to users who receive a direct link to it. Therefore, if you wish to invite an author to submit a paper to your track, you will need to send them a direct link to that track in Confy. To get the correct link, navigate to your conference’s dashboard in Confy and click on your desired Invited Track from the Tracks list. Once you do this, the heading of the page should say [CONFERENCE] [YEAR] › [TRACK] (Invited Track).

 

The URL that you need to send to the invitee will look something like this: http://confy.eai.eu/app#conftrack-overview/track/2016/cid/52546. Numbers in your URL will be different from the ones in the example. After logging in, the invitee will be able to use the link to directly access the submission form to the Invited Track.  It is important to note that the track needs to be in the Paper Submission stage in order for this to work, and once you close submission and move the stage forward to Submission Verification, it will not be possible to submit additional papers.
